Selection Criteria

  • Demonstrated exceptional abilities in time management and organisational skills, with a sound understanding of compliance to QA systems.
  • Demonstrated ability to work under pressure and an understanding of the requirement to be flexible with changing deadlines.
  • Demonstrated high level proficiency in computer use including Word and Excel and other suite programs in Microsoft Office, Internet and email software.
  • Excellent written and oral communication ability, and in particular, excellent telephone skills and ability to contend with diverse situations.
  • Demonstrated ability to quickly and accurately complete financial transactions and data entry (eg. raising purchase orders, petty cash reconciliation).
  • Demonstrated ability to learn on the job and show initiative in completing tasks.

Responsibilities and Duties

  • Provide a high level of customer service and effective communication with the public, leaving a positive image of the company.
  • Facilitate excellent communication within, and for the company including use of telephone, email, facsimile and photocopying; deal with requests and direct communications to appropriate staff for action.
  • Provide administrative support in the preparation of correspondence and documents, including formatting, presentation, mail merges and binding.
  • Arrange and facilitate travel logistics, and coordinate their changes.
  • Record keeping, data collation and data entry using the company databases and accounting software (Microsoft Dynamics, Great Plains) according to the company’s written procedures.
  • Raise purchase orders and procure materials, consumables and office supplies;
  • Coordinate the distribution of documents and packages as required.
  • Facilitate the company’s file management practices according to the written procedures.
  • Coordinate and minute meetings, as required.
  • Compliance and promotion of the company’s Quality Assurance and HSE systems.

Qualifications and Skills

  • A minimum of 12 months experience in administration, logistics, finance or business support.
  • A certificate or diploma in business administration, business management, finance or accounting would be advantageous.
  • This position requires the employee to hold a current open manual driving licence.
